> Turn an HSA statement to Excel: contributions, card spending, claims and investment moves, kept in a table you can total by year.
To move an HSA statement to Excel, extract every transaction into rows with a date, description and amount, then add a Type column: contribution, card payment, claim reimbursement, fee, interest, or investment transfer. With that column in place, a pivot table totals each type by year, ready to compare with the trustee's tax forms and your receipts.

## What rows does an HSA statement hold?

An HSA statement, from the trustee that holds your health savings account, lists money going in and out over a month or quarter. Going in: your contributions, an employer's contributions, interest and investment returns. Going out: debit card payments at providers, reimbursements you claimed to yourself, fees, and moves into investments. Each needs a Type label.

### Building the Type column

The description column usually names the transaction, but in the trustee's words: "Payroll contribution", "Employer contribution", "Card purchase", "Distribution", "Monthly fee". Make a short lookup table that maps each wording to your type, and use XLOOKUP to fill the Type column. New wordings will appear over time. Any row that comes back blank from the lookup is one to label and add to the table.

### Signs and dates

Keep money in as positive and money out as negative. Use the posting date the statement prints. If the statement shows both a transaction date and a posted date, keep both columns, because a card payment on December 31 can post in January and land in a different year's total.

## HSA cash balance and HSA investment balance

Many HSAs have two parts: a cash balance used for spending, and an investment balance holding funds. The statement may show them in separate sections, each with its own opening and closing balance. Convert both, keep an Account column on each row, and treat moves between them as transfers, not contributions or withdrawals.

### Transfers are not spending

When cash moves into investments, the cash section shows money out and the investment section shows money in. Summed together they net to zero. If you total "money out" across the cash section only, the investment transfer looks like spending. Give those rows the type "transfer" and leave them out of the yearly contribution and withdrawal totals.

### Investment rows

The investment section often lists fund purchases, sales, dividends and a change in market value. Market value changes are not transactions. Keep the opening and closing values of the investment section, and record dividends and fund trades as rows, but do not add the unrealised gain to your contribution or distribution figures.

## Does the HSA sheet agree with Form 5498-SA and Form 1099-SA?

The yearly totals in your HSA sheet should match the trustee's forms. [IRS Publication 969 on health savings accounts](https://www.irs.gov/publications/p969) says the trustee sends Form 5498-SA showing the amount contributed during the year, reports distributions on Form 1099-SA, and that contributions are reported on Form 8889 with your Form 1040. A pivot table on your rows gives the figures to compare.

### Worked example: rows and yearly totals

The rows below are examples for one year.

| Date | Account | Description | Type | Amount |
| --- | --- | --- | --- | --- |
| 2026-01-15 | Cash | Payroll contribution | contribution | 150.00 |
| 2026-01-15 | Cash | Employer contribution | contribution | 50.00 |
| 2026-02-03 | Cash | Card purchase, Example Clinic | card payment | -85.00 |
| 2026-03-10 | Cash | Distribution to self | claim reimbursement | -120.00 |
| 2026-03-31 | Cash | Monthly fee | fee | -2.50 |
| 2026-04-01 | Cash | Transfer to investments | transfer | -500.00 |
| 2026-04-01 | Investment | Transfer from cash | transfer | 500.00 |

A pivot with Type as rows and the year of Date as columns gives, for these rows: contributions 200.00, card payments -85.00, claim reimbursements -120.00, fees -2.50, and transfers 0.00. Card payments plus claim reimbursements, 205.00, are the distributions to compare with Form 1099-SA. Fees stay out of that figure: Publication 969 says administration and maintenance fees withdrawn by the trustee are not reported as distributions.

### When the totals differ

Year edges cause most gaps. Publication 969 says contributions for 2025 can be made through April 15, 2026, so a contribution dated in early 2026 on the statement may count toward 2025 on the form. Note any such contribution in a column of its own instead of moving its date.

## HSA withdrawals matched to medical receipts

Publication 969 says you must keep records showing that distributions were only for qualified medical expenses and that those expenses were not taken as an itemized deduction in any year. In Excel, that means a column on each withdrawal row pointing to the bill or receipt it paid.

### Linking each withdrawal to a bill

Add a Receipt column with a file name or bill reference for every card payment and reimbursement. If you also keep medical bills in a sheet, [turning medical bill PDFs into charges, adjustments and amounts owed](/blog/medical-bill-pdf-to-excel) gives a layout whose amount owed matches the withdrawal. An insurer's payment notice works the same way; [matching a remittance advice to the invoices it paid](/blog/remittance-advice-pdf-to-excel) shows that pattern.

### The double reimbursement mistake

The most common error is paying one bill twice: once with the HSA card at the provider, and again as a reimbursement claim later. Sort withdrawals by amount and look for pairs with the same value close together in time. A receipt column with one reference per bill makes the duplicate obvious.

### Adding each new statement

Each month or quarter, append the new rows under the old ones instead of starting a new sheet. [Adding PDF data to an existing Excel sheet without breaking it](/blog/add-pdf-data-to-existing-excel-sheet) covers keeping columns aligned as rows are added.
